Conveyancing Secretary/Receptionist

We are currently seeking a full time Conveyancing Secretary/Receptionist to join our team in providing administrative support and excellent customer service. The ideal candidate will have strong organisational skills and be proficient in various office software applications.

 

Duties to include:-

Assisting Fee Earners and Secretaries in the Residential Conveyancing Department.

Assisting Full Time receptionist, answering calls and greeting Clients and visitors in a professional and friendly manner.

Perform general clerical duties including photocopying, faxing, and filing.

 

Requirements:

- Minimum of 1 year Conveyancing Secretary experience
- Proficiency in Microsoft Office applications such as Word and Outlook
- Strong administrative skills with the ability to type accurately
- Excellent communication skills, both written and verbal
- Organisational skills with great attention to detail
- Effective time management abilities

 

Benefits include:-

28 days holiday (includes statutory Bank Holidays)

Death in Service benefit after qualifying period

Salary is negotiable, dependent on experience.

New Build Administration Assistant

We are seeking a full time Administration Assistant for our New Build Department, you will be office based and work at our modern offices in the heart of West Bromwich.  The successful candidate will possess excellent administration and  IT skills, a good knowledge of Residential Conveyancing/New Build Conveyancing would be an advantage. You will work as part of a Team alongside 2 Legal Assistants and 4 Fee Earners.  

 

Day to day tasks would include:-

 

  • Introductory calls to clients and issuing quotations
  • Opening files, sending and processing engagement paperwork (checking SoF and ID etc too)
  • Request searches, Title documents and redemption statements
  • Correspondence with client, agents and developers
  • Posting Slips to accounts in and out of business
  • Memorandum of Exchange & Completion Letters
  • Updating CRM and Spreadsheets during transaction
  • Chasing where necessary to ensure client engagement Is returned in due time
  • Post Completion (Application to Register, Requisitions, Closing Files and sending out registered docs to client)
  • NHBC activation
  • Draft contract packs & confirming instruction to OS / chasing draft contracts if necessary
  • Putting together marketing packs
  • General admin tasks like Scanning documents, photocopying and filing
  • Reception duties
